How many people can the conference center at the Vibrant Arena accommodate for a wedding reception?
  • The conference center may accommodate up to 500 people for a wedding reception. 


How long do we have for our reception?
  • The conference center is usually available no later than 8 a.m. the day of the event for move-in.  You may begin your reception any time that day. The conference center space is reserved for your special event until 12:30 a.m.


Are linens included with the rental fee?
  • Yes, white table linens are included as well as colored linen napkins.


Do you provide chair covers or table decorations?
  • No, the Vibrant Arena does not have chair covers or table decorations available to rent on-site for wedding receptions. You are welcome to have an outside vendor provide these for you. The Vibrant Arena will be happy to recommend local vendors to assist with your additional requests. 


Are additional decorations available to rent on-site?
  • The Vibrant Arena may provide special swag lighting over the dance floor for $250. The swag lighting includes one uplight at each of the pillars as well. The Vibrant Arena staff provides the set up and tear down of the special lighting.


What is included with the rental fee?
  • The room rental fee includes oval tables covered with white linens, your choice of colored linen napkins, the head table clothed with white skirting lighting behind the skirting on a riser, cake table clothed with white skirting with lighting behind the skirting, gift table, 24’ x 27’ dance floor, cocktail tables, and chairs. The Vibrant Arena staff provides the set up and clean up for your event.


Can we bring in our own catering for the reception?
  • Levy Restaurants is the exclusive on-site caterer of the Vibrant Arena. Therefore, all food and beverages are purchased thru them. However, you are welcome to bring in your own cake, mints and confectionaries. 


When is the guarantee required?
  • The catering guarantee is required at least 72 hours prior to the event.  You may increase your count once the guarantee is given, just not decrease.


Are additional fees applied to the catering purchases?
  • There is an 18% service fee and 9% sales tax applied to all catering purchases. No additional taxes or serve fees are applied towards rental fees at this time.


Do you have a kitchen on-site?
  • All food is prepared on-site by Chef Michael Bolin and his staff. This is ideal for any last minute requests and accommodations.


Do you have a separate area for a cocktail reception?
  • The conference center lobby and outdoor area near the conference center may be used for a cocktail reception prior to dinner. This area includes cocktail tables and a bar. This area is included with the rental of the main conference center.


Can we schedule a tasting with the caterer?
  • Yes, Chef Michael Bolin and the Levy Restaurants staff will be happy to schedule a tasting for your special event. A small fee may be applied at the time of the tasting; however, this amount will be refunded back to you at the time of your special event.


Are additional discounts available for Friday and Sunday receptions?
  • Yes, additional room rental and swag lighting fees will be discounted for receptions held on Fridays and Sundays. Please contact the Sales Department for more details.


Can we have our wedding ceremony at the Vibrant Arena?
  • Wedding ceremonies may be held on the back terrace along the Mississippi River for an additional fee. Wedding ceremonies are only held in conjunction with your wedding reception in the main conference center.


Do you have a preferred band or DJ for receptions?
  • At this time, the Vibrant Arena does not have any preferred vendors for entertainment. You are welcome to use whomever you prefer. The Vibrant Arena staff will assist with any of the entertainment providers requests.


What happens if an event is scheduled in the arena the same day as my wedding reception?
  • The Vibrant Arena will staff an usher and security guard near the escalator, so only your guests are allowed past this point. Plus, the newly renovated conference center restrooms are only available for your guests.


Do you charge for parking?
  • Complimentary on-site parking is available in the main lot for all conference center guests. If an arena event is scheduled at the same time, parking passes for reserved spaces in the main lot will be issued to your guests. 


Do you recommend any local hotels for overnight accommodations?
  • The Wyndham Moline on John Deere Commons is located next door to the Vibrant Arena. Call (309) 764-1000 to inquire about special rates and wedding packages.


Do you have space for rehearsal dinners and gift openings?
  • The main conference center may be divided into smaller rooms to accommodate rehearsal dinners and gift openings. Rental fees may be discounted based on your catering purchases. Contact the Sales Department for more information.
